This privacy policy applies to the Nav Dental app for mobile devices, Windows devices, and web browsers, together with any related services operated by Pratik (collectively, the “Application”). Pratik is hereby referred to as the “Service Provider”.

Information Collection and Use

The Application collects information when you download and use it. This information may include information such as

Artificial Intelligence

The Application uses Artificial Intelligence (AI) technologies to enhance user experience and provide certain features. In particular, the Service Provider may use third-party AI models — including DeepSeek, Claude (Anthropic), and OpenAI models — to summarise clinical or operational notes and related text you submit in the Application.

When you use AI-assisted features such as note summarisation, the relevant content you provide may be sent to these AI service providers for processing solely to generate the requested output. All AI processing is performed in accordance with this privacy policy and applicable laws. These providers process data under their own terms and privacy policies. If you have questions about the AI features or data processing, please contact the Service Provider.

The Service Provider may use the information you provide to send important information, required notices, and, where permitted by law, marketing communications.

For a better experience while using the Application, the Service Provider may require you to provide certain personally identifiable information. The information the Service Provider requests will be retained and used as described in this privacy policy.

WhatsApp messaging

The Application may send WhatsApp messages — such as appointment reminders, prescriptions, or other clinic communications you initiate — using the Service Provider’s own WhatsApp Business account. Message content and recipient phone numbers you provide are processed to deliver those messages through WhatsApp (Meta Platforms). Use of WhatsApp is also subject to Meta’s terms and privacy policy.

Patient plan sharing

When a clinic shares a patient plan for the patient to view, that shared view may be served through a separate domain operated by the Service Provider for patient-facing links. Clinic and practice management use of the Application is on the main product domain. Both domains are operated by the Service Provider and are covered by this privacy policy.

Third Party Access

Only aggregated, anonymized data is periodically transmitted to external services to aid the Service Provider in improving the Application and their service. The Service Provider may share your information with third parties in the ways that are described in this privacy statement.

Data Retention Policy

The Service Provider retains personal data based on its necessity for the stated purposes:

  • User Provided Data: Retained for the duration of your use of the Application plus 12 months thereafter, unless longer retention is required by law
  • Automatically Collected Data: Retained for up to 24 months from collection, unless longer retention is required for legal compliance
  • Aggregated and Anonymized Data: Retained indefinitely as it no longer identifies you
  • Data required for legal compliance: Retained as long as required by applicable law

You may request deletion of your personal data, subject to any legal obligation to retain it. Account and data deletion requests must be made from within your account in the Application. Please note that some User Provided Data may be required for the Application to function properly while your account remains active.

If you want to delete your account and associated personal data, you can request deletion from within your account in the Application only. Email or other channels are not used for account or data deletion requests.

When you submit a deletion request from your account, the Service Provider will delete your account and personal data from its systems, except where retention is required for legal compliance. The Service Provider will process your request within the timeframes required by applicable law.

Children

The Application is not intended for children under 16 years of age, or such higher age as required by applicable law. The Service Provider does not knowingly solicit data from children or market the Application to them.

Where parental or guardian consent is required under applicable law, the Application is not intended for use without that consent. The Service Provider does not knowingly collect personally identifiable information from children under 16 years of age in violation of applicable law. In the event the Service Provider discovers that a child has provided personal information, the Service Provider will immediately delete this from their servers. Security

The Service Provider is concerned about safeguarding the confidentiality of your information. The Service Provider provides physical, electronic, and procedural safeguards to protect information the Service Provider processes and maintains.

If a data breach occurs that affects your personal data, the Service Provider will notify you in accordance with applicable legal requirements, including, where required, providing information about the nature of the breach and the steps being taken to address it.

Changes

The Service Provider may update this Privacy Policy from time to time. The Service Provider will notify you of material changes by posting the updated Privacy Policy with an effective date. Where required by law, the Service Provider will seek your consent to material changes before they take effect.
